The Challenge

Managing 100+ faculty across 6 departments — without the right tools

The Division of Business, Computer Science and Applied Technologies at De Anza College needed to manage logistics across its 7 departments to provide exceptional service to students. Each term required collecting class schedules, office hours, syllabi, and exam information from over 100 full and part-time faculty — using emails, Google Docs, and shared directories.

Setting up courses, sections, locations, and term information in one place took department chairs and staff several hours — sometimes days. And with information flowing in from multiple sources, data inaccuracy was a constant risk.

We want our students to have a rich learning experience and have accurate information about classes they are taking. And we want to make it easy for our faculty to get that to us.

Moaty Fayek Dean, Business, CS & Applied Technologies — De Anza College

In short, the Division needed:

  • New technology to boost the speed of information collection from faculty
  • A way to significantly improve productivity and delivery of information from faculty to students
  • Enhanced scalability for its staff
  • Data accuracy from a single source system
  • A reliable dashboard giving management a bird’s eye view of every department
The Solution

A proof of concept — live within one week

The CircleRAM Department Logistics team set up the division with a working proof of concept environment in under a week. Initial usage showed the database pre-loaded with courses, terms, faculty, and supporting information — with easy data upload flows that eliminated manual entry entirely.

After streamlining its processes for online information collection, the Division quickly felt confident that Department Logistics would deliver measurable improvements in both productivity and accuracy. The platform also absorbed changing database requirements mid-setup, handling the start-of-quarter rush without disruption.

Rapid Database Creation and Process Management technology is super important for us. Every day we go live with a fresh set of requirements — and if setup takes a long time, it slows us down. The ability to get really snappy performance without compromising on quality or data accuracy is really impressive.
